Who needs a social security card?

The social security card or pension insurance card [regulated in Section 18h, the fourth book of the Social Security Code (SGB IV)] is an essential document for employees and job seekers. The ID contains all the information your employer needs for unique identification. This includes:

➠ your name (if applicable, your

maiden name) ➠ (if available: your academic title)

➠ your social security

number ➠ your pension

provider ➠ the

date of issue ➠ the ID card or serial number.

Beyond that, the social security card does not contain any other personal data; this is stipulated by law.

The social security card identifies you as a member of the social security system. You are not only insured for a pension but also receive the legal protection of disability insurance.

The social insurance funds also regulate the receipt of sick pay (in the case of long-term illnesses). Employees need a social security card for a …

  • internship
  • Mini job
  • Part-time and
  • Full-time employment

A social security card but not only for employees. If you want to apply for social benefits such as unemployment benefit (ALG) I or II, you also need the document.

By registering with the employment agency with your ID card and registering as unemployed, you should prevent the unauthorized receipt of social benefits (for example, through abuse of the marginal earnings limit).

Where can you get a social security card from?

When employees take on a job subject to social insurance for the first time, they receive a social security card from the pension insurance.

The employer can use it to register his employees with the pension fund and pay the contributions correctly. As an employee, you usually do not need to take any action.

If the employer knows that the new employee is taking on a job for the first time, they register them with the health insurance company or the mini job center. You will then apply for your social security card from the German Pension Insurance. The Deutsche Rentenversicherung will send you the ID.

By the way, soldiers, officials, and judges do not need a social security card. Thanks to their special status, they are either not covered by statutory insurance or are insured with health, long-term care, pension, and unemployment insurance free of charge.

Until almost ten years ago, the social security card was a slightly pink / orange shimmering, rectangular, small card on which the data was noted.

This has now given way to a letter in the A4 format that takes on the social security card function. The document contains all essential data and information about the pension insurance

There was also space for a photo of the owner on the old ID. This was particularly important in those industries where there used to be an obligation to carry a social security card. More on this below.

This is what the information on the document means.

The most important information on the social security card is the social security number (SV number), also known as the pension or insurance number. It consists of a mix of letters and numbers.

To enable an exact allocation, every citizen has an individual, twelve-digit SV number. We use an example to demonstrate what the different numbers and letters mean. Let’s assume your SV number would look like this:

13 240583 P 89 0

This is what is hidden behind the numbers and letters:

Abbreviation meaning

13th Your pension insurance company

240583 Your date of birth

P The first letter of your last name (maiden name)

89 The code number for the gender

0 The check digit of the issuing authority

After receiving your social security card, you should check the information for possible errors: Is the spelling of your name correct? Is the date of birth valid? Otherwise, you should contact the Deutsche Rentenversicherung immediately.

For a few years now, there has also been a QR code on the social security card. This enables the employer to read out relevant information with the smartphone.

In this way, they can be transferred directly to the accounting program. The old social security cards remain valid.

If you later retire from working life, this SV number enables your pension to be calculated. Because all relevant data is stored there:

  • Training time
  • Years of employment
  • Parental leave
  • Care time

Is there an obligation to carry the ID?

Up until 2009, there was a so-called obligation to carry workers in specific fields. This includes:

  • Meat industry
  • Fairground trade
  • Catering and accommodation
  • Passenger transport, freight forwarding, and logistics industries
  • construction industry
  • Exhibition stand construction
  • Building cleaning industry
  • forestry

These are all sectors in which the number of illegal workers is higher than in others. To prevent undeclared work, employees had to have their social security cards with them at work at all times.

If there was a check by customs or another authority, they had to identify themselves in the past with the social security card. However, this obligation has now been lifted.

However, the identification requirement still applies. Employees in one of the industries mentioned must now have another valid identification document (such as a passport or identity card) with them to be able to confirm their identity.

Your employer will tell you whether you are required to carry an ID with you for your work. Either way, he is obliged to ask for the social security card to be presented (although most of them are satisfied with the SV number).

Have you lost your social security card?

Anyone who has lost their social security card must report the loss immediately. You will then get a new one free of charge. If you have lost your ID or if it has become unusable, you have the following options:

  • You contact your health insurance company
  • Depending on which health insurance company (AOK, IKK, TK, Barmer, …) you are insured, you have various options for contacting us. You can usually call them on a service number and request a new social security card.
  • You can also order it online – however, this may require registration. In any case, your health insurance company will contact the pension insurance company and arrange for a new social security card to be issued.
  • You contact the pension insurance.
  • You can, of course, also apply for a social security card directly from the pension insurance. The service telephone is available on 0800 1000 4800 or this address online.
  • However, it usually doesn’t go any faster. In this sense, it is up to you where you apply for the new ID.

How to get your social security number

If you change jobs, it is not good if you have mislaid the document. Without the ID, the new employer cannot wholly create the personnel file because the pension insurance number is missing.

The processing time for a new social security card is relatively long, up to three months. The health insurance companies will issue a replacement certificate for this period. With this certificate, you can go to your new employer, and he can add all the necessary data for the payroll.

Our tip: To avoid delays in changing jobs and avoid giving the new employer the impression that you are a bit chaotic, it is advisable to note the social security number indicated on your ID.

So you can at least state the number when you hire. If it is already too late for this, we have another tip: Take a look at your previous employer’s old registration certificates or payslips. You can also find the social security number there.

If your old social security card appears again, you should inform the health insurance company or the pension insurance company – you must then send one of the documents, the old or the new card. Editable Social Security Card Template Software is available.

What happens if I change my name?

For example, a name change is automatically forwarded by the residents’ registration office in the case of a wedding. That means, without applying, you will receive a new social security card from the pension insurance.

If the issue takes longer, you can call your health insurance or pension insurance after six weeks and inquire about the document’s whereabouts. This is particularly recommended for retirees. Because the data exchange did not work, you could face difficulties with the annual pension adjustment notification.

In such a case, it is better to apply in writing for a new social security card and make sure to include a copy of the document certifying your new name (marriage certificate or identity card) and your social security number with your letter.

By the way, changing your name doesn’t mean that your social security number will change too – it will stay the same for the rest of your life.

Exception: If you cannot prove your SV number with any document, you will not only be assigned a new ID, but also a unique social security number. Editable Social Security Card Template Software is available.

What applies to foreign workers?

Anyone who takes up employment in Germany as a foreign employee is subject to German legal provisions and thus also receives a social security card. This applies particularly to employees from the European Union (EU) who, as EU foreigners, have the freedom to travel and move workers.

Different regulations apply to such foreign employees

  • who are temporarily employed in Germany by a foreign employer,
  • who are also professionally active in other countries,
  • who are self- employed,
  • that come from non-EU countries.

Anyone who does not come from the EU or a country in the European Economic Area (EEA) needs a work permit. If you need Editable Social Security Card Template Software, please feel free to leave a comment below.
